How I Hand-Stamp & Ship Custom Jewelry — Efficient Workflow Tips

Running a handmade business means wearing all the hats—especially when it comes to custom work. Over the years, I’ve fine-tuned my process for hand-stamping personalized pieces and getting them out the door quickly without losing my mind (or my tools 😅). Whether you're a fellow maker or just curious about what goes into each order, here’s a peek into my workflow—plus tips to help streamline your own.

✨ Step 1: Order Comes In

I sell on Shopify, Amazon, Etsy, and occasionally through custom requests via email. When an order comes in, I:

  • Check personalization details (names, birthstones, dates, etc.)

  • Confirm stock levels of blanks, chains, and charms

  • Drop the order into my daily workflow list

VA Tip: A virtual assistant can help organize incoming orders, double-check customer details, or follow up on unclear personalization notes.

🔩 Step 2: Prepping Materials

Before I ever touch the hammer:

  • I lay out blanks, chains, and add-ons (charms, stones, extenders)

  • Clean the metal with an alcohol wipe to prep for stamping

  • Check my tools (fonts, tape, guides) are ready to go

Maker Hack: I use a segmented bead tray to organize each order’s components before stamping. That way I don’t mix up names, birthstones, or chain lengths—especially when working on multiple orders at once.

🔨 Step 3: Stamping & Assembly

This is the part people think is quick… and it’s not. 😅

  • I carefully tape guides and align the letters

  • Each piece is stamped by hand, one character at a time

  • Once it’s perfect, I oxidize, polish, and assemble with pliers + jump rings

Efficiency Tip: I batch-stamp similar orders—if three customers want name discs, I do them in one sitting.

📦 Step 4: Packing & Shipping

I wrap each piece in tissue, tuck it in a gift box, and seal it with love (and a logo sticker). Then:

  • Print the label

  • Update tracking info

  • Drop the package in the mailbox or schedule a USPS pickup

VA Tip: A VA can prep your shipping labels, update tracking on your site, and even email customers when their package ships—so you can keep creating.

🧠 Final Thoughts

Custom work is deeply rewarding—but it can also be overwhelming if you don’t have systems in place. Whether you’re a fellow jewelry maker or just starting out, I hope this behind-the-scenes peek gives you ideas to streamline your own workflow.

And hey—if you ever need help documenting your process, setting up product listings, or batching your blog posts, I’d love to help. Remote assistant support is kind of my thing 💻✨
